This is a draft. The final wording is reviewed before the pilot opens.

This page explains what VaniBot keeps when you join the waitlist, and what happens to the calls it answers once the pilot opens. It is written to be read, not skimmed past.

1. Who we are

VaniBot is run by one founder in Colombo, Sri Lanka. You can reach us at support@vanibot.app.

2. What we collect

When you join the waitlist, we keep what you type into the form:

  • Your name
  • Your business name
  • The type of business
  • Your mobile or WhatsApp number
  • Your email address
  • The languages your callers use

We also keep two things you do not type:

  • The language this site was showing when you joined
  • Where the link you followed came from, if the page address carried it (the utm_source, utm_medium, utm_campaign and utm_content values)

With your waitlist details we do not store your IP address or any details about your browser or device.

This site counts visits with Vercel Web Analytics, run by Vercel, the company that hosts it. It sets no cookie. For each page view it records the page address, the page you came from, your country, region and city, and your browser, operating system and type of device. To count visitors it makes a code from each request and discards it after 24 hours. Vercel states that these records are not tied to a person or to an IP address. The site has no advertising trackers.

It also measures how fast its pages load with Vercel Speed Insights, from the same company. For each measurement it records the page address, one reading such as how long the page took to show its first content, the part of the page the reading points to, your type of connection (such as 4g), your browser, operating system and type of device, your country, the version of the measuring script, and the time the reading arrived. Vercel states that these readings are anonymous, are not tied to a person or to an IP address, and cannot be used to follow a visit from page to page.

Its fonts are served from vanibot.app itself, so your browser does not contact a font service. Apart from signing in, the only cookie it sets is NEXT_LOCALE, which remembers the language you chose.

If you pick light or dark, your browser keeps that choice on your device; it is not sent to us.

When the pilot opens, we will also keep, from businesses: your name, business details, email, phone numbers and the facts you ask the receptionist to use. From callers: the phone number they call from, the recording and transcript of the call, and the details they choose to give, such as a name, a number, a preferred time and what they asked for.

3. Call recordings and transcripts

VaniBot is not live yet. When the pilot opens, every call is recorded, and the receptionist tells callers so at the start of every call. Recordings and transcripts are visible to the business the caller rang, and to us when we help that business.

4. How we use it

We use your waitlist details to contact you about the pilot, and for nothing else.

When the pilot opens, we use call details:

  • To answer calls with your facts
  • To send you call summaries on WhatsApp and by email
  • To fix problems and improve how the receptionist answers

We do not sell data, and we do not use your callers' details for marketing.

5. Who we share it with

Only the service providers that host this site and its database, and only so they can do that work. When the pilot opens, this also covers the providers that run the phone lines and speech technology for us.

6. How long we keep it

Waitlist details: until the pilot starts, or until you ask us to delete them, whichever comes first.

Recordings and transcripts: until the business deletes them or closes its account. The exact periods are confirmed before the pilot opens.

7. Your choices

To get a copy of your details, or to have them deleted, write to support@vanibot.app. Callers can ask the business to delete their recording. Businesses can ask us for a copy of their data, or to close their account and delete it.

8. Contact

Write to support@vanibot.app. One person reads every message.

VaniBot

Answers your business's calls in Sinhala, Tamil and English.
